Quick Capture is JeevanAxis's universal input valve — a distraction-free, always-accessible capture modal that routes raw thoughts, tasks, expenses, and notes into your Smart Inbox without interrupting your current workflow. This guide teaches you to use it correctly, process your inbox efficiently, and turn the habit of capturing into one of the highest-leverage behaviors in your entire system.

The Mental RAM Problem

Your working memory has a capacity of approximately 4–7 active items at any given time. Every unresolved thought — "I need to email Rajan," "Don't forget to pay the electricity bill," "That idea for the project proposal" — occupies one of these slots.

When working memory is full of unresolved items, you cannot think clearly about the problem in front of you. You experience this as distraction, restlessness, or the inability to focus. Psychologists call this the Zeigarnik Effect: uncompleted tasks generate persistent cognitive noise until they are either resolved or captured.

The solution is not to remember everything — it is to capture everything immediately and process it at a dedicated time. Quick Capture is the architectural solution to this problem inside JeevanAxis.

The golden rule of Quick Capture: You should never need to navigate to find it. The keyboard shortcut ⌘K (Mac) or Ctrl+K (Windows) opens the capture modal from anywhere in the application — including when you are reading a note, in the middle of a focus session setup, or on the Finance module.

What You Can Capture

The Quick Capture modal supports four capture types, each routing to a different destination:

TACTask Capture

The most common capture type. Add a task title — this is the minimum required. Optionally add a due date. The task routes to the Smart Inbox, where you will process it later.

Critical rule: Do NOT assign projects, priorities, or due dates during capture. The purpose of capture is speed. Processing is a separate step with a separate time.

TACNote Capture

Creates a draft note with a title and body. Routes to your Notes library in the Plan module. Use this for capturing ideas, meeting notes, or reference material.

TACExpense Capture

Adds a transaction directly to your Finance module. Enter the amount and select a category (food, transport, bills, etc.). This is the fastest expense logging path — faster than opening the Finance module directly.

TACIdea / Thought

Freeform text tagged as "idea" — routes to the Smart Inbox for processing. Use this for anything that does not fit the other categories: observations, creative fragments, questions you want to research later.

The Smart Inbox — Your Processing Queue

The Smart Inbox (accessible at Plan → Inbox) is where all Quick Capture items land by default. It is a queue, not a permanent home. Items in the inbox are in an unprocessed state — they have been captured but not yet organized, prioritized, or activated.

TACThe Processing Protocol (GTD-Inspired)

Run this protocol once per day — ideally in the morning after reviewing your Intelligence Center insights, or in the evening as part of your wind-down routine:

  1. Open the Smart Inbox (Plan → Inbox)
  2. Take the first item at the top of the queue
  3. Ask: "Is this actionable?"
    • If yes → convert it to a task with a priority and optionally a project
    • If yes AND it takes less than 2 minutes → do it immediately and delete the inbox item
    • If no → move it to Notes as reference, or delete it
  4. Repeat until the inbox is empty or at a manageable level (under 20 items)

The inbox should never grow beyond 20 items. An inbox with 80+ items is a sign that capturing is happening without processing — which defeats the purpose and creates a new type of anxiety.

The Command Brain modal opened by ⌘K does more than just capture. It is a global command palette for the entire application:

Power user tip: Learn the 5 commands you use most frequently and memorize their exact syntax. For most users these are: new task, log expense, new note, open [module name], and find note.

Building the Capture Habit

Quick Capture only works if you use it consistently. The friction barrier is building the reflex: the moment something enters your mind, reach for ⌘K.

Week 1 target: Use Quick Capture at least 10 times per day for 7 consecutive days. At the end of the week, you will have a backlog in your inbox. Process it in a single 20-minute session. This experience — seeing everything organized and nothing forgotten — is the moment the habit solidifies.
